Victory Worship Planner Hub is a centralized operations platform for planning worship services, coordinating volunteers, managing ministries, and organizing weekly church activities. It replaces scattered spreadsheets, chat messages, and manual coordination with one structured workspace where leaders manage people, assignments, service programs, and follow-up activities — helping teams reduce scheduling conflicts, improve communication, and create a repeatable planning process for every service. The same pattern fits any organization that coordinates people, departments, and repeatable programs — nonprofits, event production teams, schools, and other volunteer-driven groups, not just churches.

The Problem

Volunteer schedules were managed across chat threads and spreadsheets, leaders couldn't easily see who was assigned to each service, and service programs were rebuilt manually every week.

The Approach

Built a single platform for the volunteer directory, ministry structure, weekly and calendar scheduling, and a drag-and-drop service rundown builder — all backed by a shared cloud database.

The Result

A single source of truth for people, schedules, teams, and service plans — with leaders able to answer staffing and planning questions directly inside the system instead of chasing people down.

5. Calendar View
  • Monthly overview of service assignments.
  • Navigate between months and return to the current date.
  • Identify days with scheduled services.

  • Select a date to see detailed assignments, including assigned volunteer names and ministry roles.
  • Gives leadership a broader planning perspective beyond the weekly schedule.
6. Service Rundown Builder
  • Plan the complete flow of each service — songs, prayers, sermons, announcements, offerings, and other custom segments.
  • Each item can include title, duration, assigned person, notes, service time, order number, and item type.
  • Add, edit, and delete items; drag and reorder the service flow.
  • Calculate total service duration and display estimated timing.
  • Duplicate a rundown from one service time to another.
  • Print a formatted service rundown.
  • Helps teams prepare a consistent and well-timed service program.
7. Ministry Management
  • Each ministry can have a name, description, custom color, assigned leader, member count, and related volunteers.
  • Default ministries: Music, Audiovisual, Ushering & Security, Kids, Creative Support, Prayer Team, and Admin Support.
  • Because ministries are managed as database records, the system can be adapted to different organizational structures.
8. Notifications
  • Reminder notifications, general updates, and alerts.
  • Read and unread states, individual notification completion, and mark-all-as-read.
  • Volunteer-linked notifications.
  • Unread notifications are also surfaced in the application navigation and dashboard.
9. Persistent Cloud Database
  • Built on Supabase and PostgreSQL to persist operational data.
  • Stores volunteer records, service assignments, rundown items, notifications, volunteer journey records, volunteer notes, and ministry configurations.
  • Suitable for teams that need shared access to continuously updated information instead of isolated local files.
