Overview

From first inquiry to booked and beyond — one connected pipeline.

The client had no automation system in place. Leads from web inquiries, Meta ads, mailers, and direct intake were followed up on manually, with no consistent process for moving a lead from first contact to booking, and no structured handoff once a client signed. Rather than working from an existing system, I started from scratch — mapping how the team actually ran their sales process day to day, then designed and built the full pipeline architecture natively in GoHighLevel.

The Problem

Follow-ups, internal notifications, and post-event tasks like review requests depended entirely on someone remembering to do them, with leads from multiple sources living in separate, untracked silos.

The Approach

Designed a four-pipeline automation system — lead intake, sales, post-signing client journey, and Meta ad qualification, plus a parallel mailer nurture sequence — mapped end-to-end so every stage has a defined trigger, owner, and next action.

The Result

A fully connected pipeline where every lead, contract, and post-event task has a defined owner and automated trigger — critical judgment calls like reviewing a drafted contract stay human, while everything repeatable runs on its own.

1. Multi-Channel Lead Intake
  • Every lead source — Web Lead Form, Internal Intake Form, Meta Ads Form, and the Mailer Campaign — funnels into a single Lead Opt-In entry point.
  • No matter where a lead originates, it enters the same tracked pipeline instead of living in a separate silo.
2. Sales Pipeline (Contact → Contract Sent)
  • Six stages — Contact Made, Sales Call Scheduled, Sales Call Done, Proposal Sent, Contract Made, Contract Sent — each with its own automation stack.
  • Appointment confirmations and reminders, internal team notifications, tagging for segmentation, and opportunity-stage updates that move automatically as work gets done.
  • Contract drafting and signing routes through an internal review step before it ever reaches the client.
  • Once signed, the system auto-notifies the team, sends the client a confirmation with a production-team introduction, and advances the opportunity to Booked.
3. Post-Signing Client Journey
  • Once booked, the system hands the client off cleanly between teams — finance is notified and looped in, production gets its turnover packet.
  • The deposit is tracked through to the event itself.
  • After the event, GHL automatically sends a Google review request one week out, with an automatic follow-up if there's no response.
4. Meta Ads Lead Qualification
  • The most intricate branch of the build — every Meta ad lead is automatically tagged, pushed through the Meta Conversion API, and routed to the team via internal notification, SMS, and WhatsApp simultaneously.
  • Booked calls are segmented by a budget-range condition, splitting leads into funnels (e.g. $0–$10K) so sales can prioritize and pitch appropriately.
  • No-shows are automatically flagged back into a manual follow-up track instead of going cold.
5. Mailer Campaign Nurture
  • A parallel sequence — Email Sent → Text Sent → Follow-Up Email → Response Received → Schedule a Call → Call Done.
  • Keeps mailer-sourced leads warm through a dedicated multi-touch cadence before they ever reach a live conversation.
6. Key Technical Highlights
  • Conditional budget-based routing to segment ad leads into the right sales funnel automatically.
  • Multi-channel internal alerts — SMS, WhatsApp, and email notifications — so time-sensitive leads never wait on a single channel.
  • Meta Conversion API integration for accurate ad-platform attribution.
  • Automated review-request sequencing with built-in follow-up logic.
  • Cross-team visibility built directly into the pipeline stages, so sales, finance, and production work off the same source of truth.
